Reservations
We encourage you to make your reservations at the earliest possible date. Hotel, restaurant and activity reservations often must be made and tickets purchased months in advance. Coaches are booked quickly and in advance for busy times each year – March thru May and September thru December. Advance booking is advised.
Tour Deposit Information
Package Deposit
These are based on each individual package planned for the trip. All deposits and payment schedules are worked around the groups requested venue, restaurant and hotel.
Motorcoach Only Deposit
$100 SIXTY (60) days PRIOR to departure (ie ~ trip date is June 6 the deposit will be due April 6)
Final Payments:
PACKAGE DEALS ~ the FINAL payment is due with room list NO LESS than 45 (forty-five) days PRIOR to departure. We have to get all the payments and names to the vendors by 30 (thirty) days PRIOR and must have a window of time that will allow us to get this done.
MOTORCOACH ONLY ~ MUST be in our office NO LESS than THIRTY (30) days PRIOR to departure.
We DO NOT BILL – payments not received will be the same as notification of cancellation.
Methods of Payment
Royal Tours accepts payment on motor coach tours, cruises, and international tours in the form of cash, personal check, or by credit card transaction.
Credit Cards Accepted: VISA, MASTERCARD
Cost factors will not allow us to accept any credit card transaction for less than $50.
**Credit Card Refunds: "Cash" refunds are not given on a credit card transaction. The refund must be credited back to your credit card account.
Tour Price Includes...
Transportation:
Round-trip transportation is provided via our own spacious new, MCI 102 DL3 and/or PREVOST H3 45 motor coaches. All coaches are equipped with restroom, air-conditioning, adjustable lounge seats, stereo and public address system, and tinted panoramic viewing windows.
Accommodations:
Your highly-rated accommodations are chosen on the basis of location, cleanliness, and dining facilities, as well as the warm hospitality of their management and staff. In short season areas and National Parks, accommodations are sometimes rustic, but afford you the opportunity to view the primitive splendor of the parks and undeveloped areas. We think you'll be delighted with our selections. Room assignments are always made by the hotel / motel in an impartial manner.
Special Requests:
Special requests such as for smoking/nonsmoking rooms, king-size beds, side-by-side rooms, or travel on the same motor coach with friends, need to be made when booking your tour or at least 30 days prior to departure. We try to honor all of these requests but in some motels and locations special requests cannot always be honored due to availability.
Can I share a room? Persons traveling alone may request sharing a Twin/Double room. We will do our best to find you a suitable companion. If we do not succeed, the single rate applies. Price per person will change when a roommate cancels and your accommodation type changes.
PLEASE NOTE: Persons with physical disabilities must have a traveling assistant who is fully responsible for the person IF the disability prevents them from being independent.
Rooming Classification:
Single....................One person/One bed
Double....................Two persons/One bed
Twin/Double...............Two persons/Two beds
Triple....................Three persons/Two beds
Quad......................Four persons/Two beds
Sightseeing:
All sightseeing tours, guides, and admissions are covered in the tour price as outlined in the itinerary.
Luggage Handling:
Luggage is limited to one bag per person. You may bring a small overnight bag, small enough to fit in the overhead rack inside the motor coach, which will be your personal responsibility. Don't over pack. It's always wise to travel light.
Gratuities:
All necessary tips to bellmen, doormen, and dining room tips on meals in the itinerary are included.
Meals:
Meals are covered if so stated in the itinerary.
We custom design each and every itinerary based on the customer request. No two are alike UNLESS you ask for it.
The Tour Price Does Not Include:
Gratuities to Tour Director and Driver: Gratuities are appreciated (for good service) but should be extended on an individual basis, not as a group.
Gratuities for Cruises:
Tips to waiters and room stewards.
Meals:
Other than those listed in the itinerary.
Personal Expenses:
Valet and room service, telephone calls and all other items of a personal nature.
Refund Policy
Motor Coach Tours:
A full refund will be given on motor coach tours when cancellations are received 30 days prior to departure. We know you will not cancel without a valid reason. Regardless of reason, cancellations and transfers result in costly process of letters, toll calls, record adjustments, refund checks, etc. plus loss of non-refundable tickets and accommodations, if time does not permit the resale.
Refunds are not given on tours for attractions, meals, etc., for which individuals do not participate while on the tour.
NOTE:
When one person cancels or leaves a tour and a roommate remains, the rate charged the remaining person(s) will be the tour rate for the new accommodations.
Fly Tours, Rail Tours, International Tours and Cruises:
Cancellation of these tours will result in a fee. Cancellation fees are determined by our suppliers. You will be charged according to their policy.
Family Discounts
Children 12 years of age and under pay 60% of the twin/double rate when staying in a room with 2 full paying (twin/double rate) passengers.
Children 12 years of age and under pay 85% of the twin/double rate when staying in a room with 1 full paying (twin/double rate) passenger.
Young adults ages 13-17 pay 75% of the twin/double rate when staying in a room with 2 full paying (twin/double rate) passengers.
Young adults ages 13-17 pay 95% of the twin/double rate when staying in a room with 1 full paying (twin/double rate) passengers.
Travel Information and Documents
Seven to ten days before your tour departure you will receive your final tour information, including your specific departure point and time, rooming list, baggage tag, hotel/motel list with phone numbers, changes in itinerary, and insurance application. Call our office immediately if your pick-up point is incorrect.
Insurance:
All passengers are insured only while on the motor coach. Royal Tours is not responsible for lost, stolen, or damaged articles or luggage. You should have adequate cancellation, baggage, accident and sickness insurance. Individual trip insurance is available and information will be sent with final documents. The application must be mailed to the insurance company prior to departure of the tour.
Passports and Proof of Citizenship:
Although Passports are not required to enter Canada, Mexico, or to go on most of our cruises, it is the best form of identification. You should carry some proof of citizenship any time you go outside the United States. A birth certificate or valid voters registration card along with a photo ID is sufficient when crossing into Canada or Mexico. Foreign visitors to the United States, entering Canada, must have a Canadian visa. If you have any thoughts of going abroad, better start preparing now. You may obtain the proper forms through the Clerk Of Court or at the Post Office.

An important factor in the success of any escorted tour is the Tour Team---Director and Driver. Your Royal Tours Team is experienced and personable. Our trademark is personal, impartial service to each tour member.
Tour Director:
Tour Directors are members of our staff and have been trained according to the highest Royal Tours standards. Whichever tour you select, you can be assured of traveling with a knowledgeable and courteous escort---one who will help you to enjoy the most interesting things in the areas through which we travel. Your escort will see to your comfort while on the motor coach, as well as handle all the details of the tour from beginning to end so that you may relax and enjoy a truly care-free vacation. Any special request should be brought to the attention of the Tour Director on the first day of the tour.
Tour Driver:
Royal Tours drivers are hand-picked professionals selected for their reliability, safety record, congeniality, and genuine concern for our passengers' welfare. The cooperation between the Tour Director and the Driver assures you of a restful, relaxing travel experience. Their concern is for your pleasure and comfort, so that you will return from your vacation with many golden memories. Your Tour Director and Driver will help you turn the "miles into smiles".On The Motor Coach
Seat Rotation:
Seats are not pre-assigned, but are rotated on a regular basis, using different methods as determined by your Tour Director. This method affords equal opportunity for each traveler to view scenery from different areas of the motor coach during the course of the trip. No exception is made to our seat rotation policy. The seat directly behind the Driver is reserved for the Tour Director.
Smoking:
Smoking is not permitted on the motor coach, but we do have frequent rest stops.
Coach Courtesies:
Persons paying single price will share a seat with another passenger when the motor coach is filled. We request that you cooperate in the seat rotation plan as set forth by your Tour Director.
Under no circumstances can seats be reserved on the coach for any tour.
Punctuality is extremely important when traveling with a group.
Each person must be seated before the coach can proceed. We request that you always remain seated during city driving for your own personal safety.

Royal Tours acts only as agent for tour members in arranging tour accommodations, transportation, sightseeing, admissions and restaurants. Royal Tours is not responsible for any loss or damages of personal property, or for injuries, expenses, or damages incurred or claimed by any tour member. Royal Tours and/or their leaders, in anticipating bookings for any tour, clearly stipulate that they are not liable for the faults or defaults of all companies and persons that may be used in carrying out the tour services; also for accidents, baggage losses, strikes, political unrest, riots and acts of God and war. In the event that it becomes necessary or advisable ever to alter the itinerary or arrangements, such alterations may be made without penalty to the operator. Additional expenses, if any, shall be borne by the passengers. Royal Tours reserves the right to cancel any tour for conditions beyond our control, including insufficient participation. In the event of a tour cancellation, all deposits will be refunded in full. Royal Tours reserves the right to terminate the participation of any person whom Royal Tours management considers to be objectionable and who disrupts in any way the relaxed atmosphere of our tours. Our objectives are to ensure the compatibility and congeniality of all passengers and the smooth and efficient operation of the tour.
Changes in Events or Attractions:
In the rare occurrence that a change is made in events or attractions as stated in the itinerary, a similar or better event or attraction will be substituted. Occasionally an attraction will be changed for the sole purpose of improving the tour.
Additional Tours:
This Travel Adventures Catalog does not list all the tours to be offered by Royal Tours in the coming year. Additional tour departures and destinations are continually being added. For up-to-date information concerning these offerings, be sure to watch for periodic Royal Tours catalogs or newsletters.

Royal Tours guarantees that we will not cancel your vacation later than 21 days prior to your tour departure.
Traveler's Attitude
Although Royal Tours makes every effort to ensure you an enjoyable motor coach tour experience, motor coach touring may not be for everyone.
A romantic sense of adventure, an open and tolerant attitude, and the ability to accept and interact with your friendly traveling companions can go a long way to heightening your tour experience. Additionally, your health should be such that you will enjoy moving about and exploring the many interesting and memorable highlights of the tours.
If you have special dietary requirements, we strongly recommend that you consult with Royal Tours' office before you make reservations because special food preparation en route can not be assured.
